We are looking for a motivated, organised and proactive individual to take on the role of Office Manager within our busy office in Kennington. The individual will gain a deep and valuable knowledge of the day-to-day running of an office within a fast paced and exciting creative production agency. This role focuses on the management and smooth running of the office but also offers scope for development within the company.
The ideal candidate will have:
• Excellent organisation and time management
• Good communication and written skills
• The ability to multi-task and prioritise a varied workload
• Flexibility and reliability
• A thorough understanding of Microsoft Office packages (word, excel, powerpoint), and proficiency working with both PC and Mac
• Some previous experience working in an office environment is beneficial
Key aspects of the role will include:
• Front of house- answering the phone, taking messages and directing calls, greeting clients and suppliers, welcoming visitors and preparing for meetings, ensuring all media is prepared and accessible for meetings and pitches
• General office administration – ensuring there are adequate supplies of all office materials and stationary, managing the contact database, logging staff holidays, maintaining an inventory of all props and equipment used on projects, organising board meetings and staff conferences, managing the server, setting up job folders and archiving completed projects
• Diary Management- Managing the busy diary of all staff, scheduling both internal and external meetings and booking the meeting rooms
• Travel- booking domestic and international travel for senior staff members and preparing travel itineraries
• Building Maintenance- liaising with the cleaner and maintenance teams, ensuring fire safety and health and safety procedures are up to date
• Supporting senior staff members
• Assisting the marketing, new business, production and creative teams when required
